HUB COORDINATOR (Job Share, 2 Positions Available): July 12, 2024, Updated December 11, 2024

Title: Hub Coordinator (Job Share)

Ministry: WestCoast Baptist Association

Location: CNBC WestCoast Office/Remote (hybrid as arranged with the Regional Ministry Leader)

Hours per week: Average of 16 hours per week (ability to flex hours in order to work with church planters and staff)

Reports to: Regional Ministry Leader

Total Compensation: $25,000 per 2024 (compensation is dependent on workload and reviewed annually)

Position Overview: The Hub Director provides administrative and bookkeeping services to the WestCoast Baptist Association (CNBC WestCoast), employees, church plants and ministries falling within the HUB. This position also relates to other entities such as the Canadian National Baptist Convention (CNBC), the North American Mission Board (NAMB), the International Mission Board (IMB), Puget Sound Baptist Association, Canada Helps, and US partner churches and individuals.

Primary Objectives:

Bookkeeping Responsibilities:

  1. Manage payroll using ADP, ensuring compliance with CRA regulations and making necessary adjustments
  2. Maintain accurate records in QuickBooks and reconcile bank accounts regularly
  3. Prepare and submit financial reports to church plants and ministries
  4. Ensure timely submission of all required government reports, including GST reimbursement, T-4, T-4 Summaries to CRA, and WorkSafe BC report
  5. Collaborate with the WBA Treasurer/Finance team to facilitate annual tax contribution receipts for Canadian donors and distribution of investment income
  6. Assist the WBA Treasurer in preparing the Annual Charity Report
  7. Coordinate preparations for the annual audit
  8. Conduct financial orientation for new staff members

Administrative Responsibilities:

  1. Coordinate with the Church leadership team and Church Planting Missionaries to:
    • Provide historical and financial documentation necessary to prepare for charity application through CRA.
    • Develop additional government accounts as required
  2. Serve as the primary advisor to church planters and WBA’s church planting partners in devising exit strategies for church plants from the Hub
  3. Furnish necessary information to US leaders for immigration purposes
  4. Demonstrate proficiency in developing and enhancing systems to improve operational efficiency
  5. Manage payment of bills for utilities, insurance, and other invoices due for the association

Education & Experience:

  1. Secondary diploma or equivalent education is mandatory
  2. Completion of
    • a college program in accounting, bookkeeping, or a related field 
OR
    • the first two years of a recognized professional accounting program 
OR
    • accounting or bookkeeping courses combined with at least two years of experience as a financial or accounting clerk

Required Skills & Abilities:

  1. Must have Quickbooks Online experience
  2. Proficiency in computer applications like Microsoft 365 and a quick learner of online tools
  3. Familiarity with Online Payroll Platform
  4. Strong numerical skills
  5. Excellent clerical abilities
  6. Keen eye for detail
  7. Good problem-solving skills
  8. Willingness to learn the current accounting system
  9. Great interpersonal skills
  10. Ability to work well with church planters from diverse backgrounds

Preference

  1. A member of a CNBC/WestCoast Church or willing to become a member of a CNBC/WestCoast Church
